    Set up manual payroll in QuickBooks

    If you choose not to subscribe to a QuickBooks Payroll service, you can set up QuickBooks to allow you to manually calculate your employees' payroll.


    Do NOT follow the steps below if you are a current subscriber to any Intuit Payroll Service.

    Important: When your company file is set up for manual payroll calculations, QuickBooks inserts a zero amount for each payroll item associated with a tax.

    To set up manual payroll:

    In QuickBooks, go to Help > QuickBooks Help (or F1 on your keyboard).

    Click the Search tab, enter "manual payroll," and press Enter.

    Select the topic: Calculate payroll taxes manually (without a subscription to QuickBooks Payroll).

    Under Set your company file to use the manual payroll calculations setting, click the manual payroll calculations link.

    Click the Set my company file to use manual calculations link.

    Close and reopen QuickBooks.

    If you don't find the payroll features under the Employee menu, check that your preferences are set for payroll:

    On the top menu bar, Choose Edit > Preferences.

    Select Payroll & Employees.

    Click on the Company Preferences tab.

    Choose Full Payroll, and click OK.

    Important! Be aware of the following when setting up manual payroll:
    1. The manual calculations setting is applied immediately. You may not receive a message that indicates the change in your company file.
    2. If you click the Set my company file to use manual calculations link accidentally and want to reinstate payroll tax calculations in your company file, you must sign up for QuickBooks Payroll.
    3. If you already have a QuickBooks Payroll subscription and click the Set my company file to use manual calculations link accidentally, contact QuickBooks Payroll. Clicking this link does not cancel your QuickBooks Payroll subscription.
