    Following are common questions many employers, their employees, and accountants have about ViewMyPaycheck.

    These FAQs are for employers using QuickBooks for Windows. If you use the QuickBooks Online Payroll product, check ViewMyPaycheck 2: QuickBooks Online Payroll FAQs instead.

    Understanding the basics

    What is ViewMyPaycheck?

    ViewMyPaycheck is a website (https://paychecks.intuit.com) that makes it easy for employers to give employees 24/7 online access to their own paycheck info. No more printing and mailing pay stubs every payday or replacing lost or damaged pay stubs. Employees can simply sign in to their ViewMyPaycheck account and see any current or prior pay stubs.

    How does it work?

    After you sign up your company for ViewMyPaycheck, you simply run your payroll in QuickBooks and then upload the paycheck info to Intuit.

    Your employees have their own sign-in credentials and can see their current paycheck info as well as any prior paychecks uploaded by their employer.

    What are the browser or system requirements?

    ViewMyPaycheck works best in the following browsers:
    • Microsoft Internet Explorer (IE) 10 or later
    • Google Chrome
    • Mozilla FireFox
    • Apple Safari

    How much does ViewMyPaycheck cost?

    ViewMyPaycheck is included in the cost of your QuickBooks Payroll subscription and is FREE for your employees!

    Is there a ViewMyPaycheck mobile app?

    Currently we don't offer a native mobile app you can download from the App Store or Google Play.

    However, ViewMyPaycheck is optimized for mobile devices. Just open your mobile browser and go to https://paychecks.intuit.com/.

    Can I use it for my company?

    Yes, if you have QuickBooks 2012 or later*. You'll need to install the latest maintenance release and payroll updates. But once you do, you'll have the option of turning on ViewMyPaycheck.

    * If you have QuickBooks 2011, you'll need to upgrade your version of QuickBooks to use ViewMyPaycheck 2.

    I use Disk Delivery, can I use ViewMyPaycheck 2?

    No, ViewMyPaycheck 2 is not available to customer's using Disk Delivery.

    Can I try it first?

    I'm currently using ViewMyPaycheck 1. What do I need to do to switch to ViewMyPaycheck 2?

    How do I turn on ViewMyPaycheck for my company?

    Notes: If you're already using ViewMyPaycheck 1, scroll to the Switching from ViewMyPaycheck 1 to ViewMyPaycheck 2 section for instructions.

    Here's what you need to do:

    1. Make sure you're using QuickBooks for Windows 2012 or later, have installed the latest maintenance release and the latest payroll updates.
    2. Choose Employees > Manage Payroll Cloud Services.
      If you don't see the Manage Payroll Cloud Services option, you don't have the latest QuickBooks maintenance release or the latest payroll updates installed.
    3. In the Payroll Cloud Services window, click the ViewMyPaycheck checkbox.

    4. When prompted, create or confirm a PIN used to send payroll data.
    5. Click Save Changes.
    6. Click Return To QuickBooks in the confirmation window.
    7. Next time you run payroll, upload your paycheck info to Intuit when prompted.
      Before employees can sign up for and access ViewMyPaycheck 2, you need to upload paychecks.

    How do I get administrator access to ViewMyPaycheck?

    Can I use one Intuit account user ID and password to manage multiple companies?

    Yes. If you're set up as a Payroll Adminstrator of the QuickBooks company that you want to manage, you can set up each company for ViewMyPaycheck, sign in, and then use the company drop-down menu in the upper-right corner of the ViewMyPaycheck window to switch between companies.

    Note: You need to use the same Intuit account to manage multiple companies in a single ViewMyPaycheck application.

    How do I set up ViewMyPaycheck for my employees?

    First, turn on ViewMyPaycheck in your QuickBooks company and then run a payroll and send paychecks to Intuit. (Before employees can sign up for and access ViewMyPaycheck 2, you need to upload paychecks.)

    Then send your employees these instructions for signing up and using ViewMyPaycheck.

    What can I do in ViewMyPaycheck?

    Employees can view the most recent and any prior pay stub that their employer uploads to ViewMyPaycheck. Here's an example of what employees might see:

    • ViewMyPaycheck itemizes current and year-to-date earnings and deductions so you always know how your paycheck was calculated and where your money is going.
    • Need a printed copy of your pay stub? No problem. Click Save As PDF to save a PDF copy of it to your computer and then print it for your records.
    • If you want to be notified any time a new pay stub is uploaded to ViewMyPaycheck, go to Preferences and click the Send me an email when new pay stubs are available checkbox.

    Employers (ViewMyPaycheck administrators)
    will be able to use the ViewMyPaycheck administrator dashboard to set preferences for their employees. For example, you can set preferences that show or hide paychecks that are dated in the future. If you hide paychecks dated in the future, you can control when paychecks show up in ViewMyPaycheck.

    How do I upload paycheck info to ViewMyPaycheck?

    After you sign up ViewMyPaycheck for your company, you have a couple of options:
    • Every time you run payroll and send your payroll paychecks to Intuit, your payroll information uploads to VMP2.  You can go to Employees > Send Payroll Data.  When the Send/Receive Data window opens click Send All.  Enter your payroll payroll PIN and complete the send process.
    • You can also upload prior (also called historical) paycheck info. See ViewMyPaycheck (VMP1 and VMP2): Uploading historical paychecks for detailed steps.  

    Answers to employee questions about ViewMyPaycheck

    Can I use ViewMyPaycheck to see my paychecks?

    If your employer has set up ViewMyPaycheck for your company, then you can sign up and get online access to your paychecks in ViewMyPaycheck.

    So check with your employer to see if you can use ViewMyPaycheck to see your paychecks online.

    What can I do in ViewMyPaycheck?

    How do I sign up?

    Before you sign up, do this:

    • Check with your employer to see if ViewMyPaycheck is available for your company.
    • Make sure you have your Social Security number (SSN) handy and the net amount of your last paycheck issued by the company. The net amount is your take-home pay.



    • We'll need this info to verify who you are and match you with the correct company and paycheck info.

    To sign up:

    1. Go to ViewMyPaycheck (https://paychecks.intuit.com/).
    2. Click Sign Up.
    3. Sign up for an Intuit account. An Intuit account allows you to access multiple sites and products with one user ID and password.
      You'll be asked to provide an email address, a password, and a security question and answer, in case you need to recover your password.



      Note: If you already use an Intuit product, such as TurboTax, then you may already have an Intuit account. If you already have one, we'll prompt you to use that account to sign up for ViewMyPaycheck.
    4. Enter your SSN and the net pay amount from your last paycheck issued by the company and then click All Done!.


    5. Follow the onscreen instructions.
    6. Sign up for an Intuit account. An Intuit account allows you to access multiple sites and products with one user ID and password.

    I work for more than one company. Can I use it to see paychecks for the other company?

    Yes! If each employer has set up their company for ViewMyPaycheck, then you can view your paychecks from multiple companies.

    Before you add another company, make sure you have your Social Security number (SSN) handy and the net amount of your last paycheck issued by the company.

    The net amount is your take-home pay.


    To add another company:
    1. Sign in to ViewMyPaycheck (https://paychecks.intuit.com/).
    2. Click the drop-down arrow in the upper-right corner of the ViewPaycheck window and choose View my paychecks from another company.


    3. Enter your SSN and the net pay amount from your last paycheck issued by the company.
    4. Follow the onscreen instructions to add the company to ViewMyPaycheck.
    After you add the company, you can sign in to ViewMyPaycheck with one user ID and password and then use the drop-down in the upper-right corner of the ViewMyPaycheck window to switch between the companies.

    Can I get email notifications every time a new pay stub is available?

    If you want to be notified any time a new pay stub is uploaded to ViewMyPaycheck, do this:
    1. Sign in to ViewMyPaycheck (https://paychecks.intuit.com/).
    2. Click Preferences.
    3. Click the Send me an email when new pay stubs are available checkbox.
    The next time your employer uploads your paycheck info to ViewMyPaycheck, you'll get an email at the address associated with your ViewMyPaycheck account.

    Is there a mobile app?

    Currently we don't offer a native mobile app you can download from the App Store or Google Play. However, ViewMyPaycheck is optimized for mobile devices. Just open your mobile browser and go to https://paychecks.intuit.com/.

    Can I view my W-2 online in ViewMyPaycheck?

    Check with your employer about W-2 availability in ViewMyPaycheck.

    How can I get help with ViewMyPaycheck?

    If you have questions about using ViewMyPaycheck, click the question mark icons (?) available on the ViewMyPaycheck website.

    If you have questions about your paycheck, including how it's calculated, what shows up on the paychecks or stub, or when the money is deposited in your bank account (if you have direct deposit), please contact your employer.

    Switching from ViewMyPaycheck 1 to ViewMyPaycheck 2

    What's the difference between ViewMyPaycheck 1 to ViewMyPaycheck 2?

    We've made lots of great improvements in ViewMyPaycheck 2 based on suggestions from customers just like you.

    ViewMyPaycheck 1 to ViewMyPaycheck 2

    Here are just a couple of reasons to switch from ViewMyPaycheck 1 to ViewMyPaycheck 2:

    • ViewMyPaycheck 2 provides employees with a new web portal that no longer requires a Flash plug-in or a separate address for employees using mobile devices. It's easier for employees to set up accounts because they don't have to match an email address you sent in an invitation. And each employee controls whether or not to get a notification when new pay stubs are available.
    • ViewMyPaycheck 2 also makes life easier for you, the employer. You send pay stubs after each payroll run in just two clicks. No more logging in to upload data. And you don't need to invite employees. Just point them to the new web portal address. And don't worry. We'll keep the original version around through 2013 to give you and your employees plenty of time to make the switch.

    How do I switch from ViewMyPaycheck 1 to ViewMyPaycheck 2?

    Ready to switch to ViewMyPaycheck 2? Here's what you need to do.
    (Be sure to do this in the following order. You only need to do this once!)
    1. Install the latest QuickBooks* maintenance release and payroll updates.

      a. Maintenance Release: Open your QuickBooks company file, go to the Help menu and choose Update QuickBooks, follow the onscreen instructions.

      b. Payroll Update: In your QuickBooks company file, go to the Employees menu and choose Get Payroll Updates. Click Update to download the payroll update. Close and then reopen QuickBooks.
    2. Turn on ViewMyPaycheck in QuickBooks.

      a. In your QuickBooks company file, go to the Employees menu and choose Manage Payroll Cloud Services. If this menu item doesn't appear, you haven't installed the latest release or payroll update.

      b. Check the box for ViewMyPaycheck.

      c. When prompted, create a payroll service PIN to use when you send pay stub information to Intuit and re-enter the PIN to confirm it. Then click Save Changes.
    3. Upload the current year's paychecks to ViewMyPaycheck.

      a. Go to the File menu and click Print Forms > Pay Stubs.

      b. Enter a date range for the pay stubs, or filter them by employee.

      c. Select the pay stubs you want to send to ViewMyPaycheck, and click Send Online.

      d. When prompted, enter your payroll service PIN.
    4. Have employees start using the new ViewMyPaycheck portal.

      Once you start sending paycheck information to Intuit for ViewMyPaycheck, just give your employees the website address: paychecks.intuit.com and send them a  welcome packet (PDF) of these instructions. 

      Employees use their existing Intuit account ID and password (if they have one) or sign up for a new account. The first time they access their paychecks, they also need to enter their social security number and the net amount of their most recent paycheck.
    5. Once you've switched, all you need to do is run payroll as usual and click Send to Intuit to upload employee checks to ViewMyPaycheck.

      To upload paycheck info after every payroll:

      a.  In your QuickBooks company file, create paychecks as you normally do.

      b.  On the Confirmation and Next Steps screen, in addition to printing checks, click Send to Intuit.

      c.  On the Send/Receive Data window, click Send.

      d.  When prompted, enter your payroll service PIN.

      Tip:  If you ever forget to click the Send to Intuit button, you can always go to the Employees menu and click Send Payroll to Intuit.

    * Supported QuickBooks Versions: QuickBooks 2012 (and later)
    If you have QuickBooks 2011, you'll need to upgrade your version of QuickBooks to use ViewMyPaycheck 2.

    When do I need to switch from ViewMyPaycheck 1 to 2? (March 31, 2014)

    Effective March 31, 2014, ViewMyPaycheck 1 will no longer be available, so you'll need to switch to ViewMyPaycheck 2 beforehand. Click here for more information.

    I'm using QuickBooks 2011. Can I switch from ViewMyPaycheck 1 to 2?

    You need QuickBooks 2012 or later to use ViewMyPaycheck 2. If you're using QuickBooks 2011, you'll need to upgrade to the latest version of QuickBooks. Click here for more information.

    Do I need to set up and run Sync Manager when I move to ViewMyPaycheck 2?

    No. For instructions, follow the steps provided in What do I need to do to switch from ViewMyPaycheck 1 to ViewMyPaycheck 2?

    Will my employees' paycheck data be automatically transferred when I switch to ViewMyPaycheck 2?

    No. The data that was previously uploaded to ViewMyPaycheck 1 doesn't transfer automatically to ViewMyPaycheck 2. You'll need to upload the historical pay stubs again.  See ViewMyPaycheck (VMP1 and VMP2): Uploading historical paychecks for detailed steps.

    What happens to ViewMyPaycheck access if I cancel my QuickBooks Payroll account?

    If you cancel your QuickBooks Payroll account, your ViewMyPaycheck service will also be canceled. Your employees will no longer be able to view their paycheck info online in ViewMyPaycheck.

    Before you cancel, be sure to encourage employees to sign in to their ViewMyPaycheck account to print or save important pay stub or W-2 info so they have copies for their records.

    What if employees have questions about paycheck amounts or calculations?

    Employees who have questions about their paychecks, including how it's calculated, what shows up on the pay stubs, or when the money is deposited in the bank should contact their employer.
