    Arizona State W-2 E-file Help

    Article ID: 2000672

Arizona does not mandate employers to file state W-2s electronically. The department encourages, but does not require, the employer to use magnetic media filing for 250 or more federal forms.

The Arizona Department of Revenue deadline for filing state W-2s is on or before February 28.

    Expected Outcome

You will be able to submit your state W-2 forms electronically by February 28th.

You have an active Enhanced Payroll subscription.

To submit you state W-2 forms electronically:

Create the W-2 file to be submitted to Arizona Department of Revenue.

Copy the file you created in the step above to CD-ROM or DVD and mail to Arizona Department of Revenue.

You are required to submit State W-2s with the department as an integral part of the reconciliation for Arizona Form A1-R, Withholding Reconciliation Tax Return. The form should be mailed to the address on the form. Arizona accepts state W-2 submissions on CD-ROM or DVD. Include an external label to identify the Employer's Name, Employer Identification Number (EIN), calendar year and form(s) included on the CD-ROM or DVD.
If the CD-ROM or DVD is password protected, include the e-mail address the password originated from on the external label.  Send the password to ADOR separately by e-mail to MediaLibrarian@azdor.gov.  Include "Form W-2" in the subject line of the e-mail.
If filing Arizona Form A1-R or Arizona Form A1-APR by paper, secure the CD-ROM or DVD in a hard case and include it with Arizona Form A1-R.
If filing Arizona Form A1-R or Arizona Form A1-APR electronically, secure the CD-ROM or DVD in a hard case and include it with a completed Arizona Form A1-T.  Do not include a copy of Arizona Form A1-R or Arizona Form A1-APR.
The media should be sent to:
    Arizona Department of Revenue
    PO Box 29009
    Phoenix, AZ 85038-9009
For additional information on submitting your state W-2s to Arizona, refer to Arizona Department of Revenue Publication 701.
