    How to reprint or replace employee W-2 forms

    Overview

    This article describes how an Assisted Payroll customer can print a replacement copy of employee W-2 forms from the Payroll Tax Center (PTC) and provides a link to the W-2 filing instructions to meet the IRS requirements.

    Details

    The IRS requires that a reissued W-2 form be provided to an employee and include the following:

    • The words "REISSUED STATEMENT"
    • Copies B, C, and 2
    • A copy of the W-2 filing instructions

    To print a replacement employee W-2 form:

    Go to the Payroll Tax Center (PTC):

    1. Choose Employees > Payroll Center.
    2. QuickBooks 2014: Click the File Forms tab.
    3. Click View/Print forms & W-2s.
    4. Enter Payroll PIN. Click OK.

    Forms are available to view or print approximately 35 days after the end of the quarter. See the Assisted Quick Tax Guide for more information. See How to view or print filed tax copies in Payroll Tax Center for more information about the Payroll Tax Center.

    Go to the W-2 page. If you do not see a list of employees, click View/Print W-2 forms for all years.

    Click the employee's name to open the W-2 form you want to print. (If the W-2 does not open, hold down the Ctrl and Alt keys while clicking the employee W-2.)

    If you receive an error about pop-up blockers, security, or any other script error, follow the instructions in the article Resolve script errors and other problems when viewing W-2s and other payroll forms in the Payroll Tax Center (PTC). These errors happen because of security preferences set on your computer and this article will help you reset the preferences to allow you to download the W-2 or tax form.

    If prompted, select View Reprints. (This adds the REISSUED STATEMENT watermark to the W-2.) Click Continue. (If you are not prompted, the REISSUED STATEMENT watermark automatically appears on the W-2 form).

    When Adobe Reader opens the W-2 form, print it on the correct perforated paper.

    If you do not have perforated paper (instructions on back), you can print the W-2 form on plain paper, but you must also provide the W-2 filing instructions to your employee.

    When I go to download the replacement W2, I get the notification bar asking for me to disallow or allow. When I allow it, no form...help!

    I am an Intuit employee and saw your comment. It looks like you all are receiving what is called a script error when trying to access your W-2s. I have found another article for you to use to help you resolve this issue, Resolve script errors and other problems when viewing W-2s and other payroll forms in the Payroll Tax Center (PTC). I know it can be frustrating to get these errors so I have also posted a link to this article in the Related Articles section above and updated the article to call out the possibility of this error in the Details section of the article.

    I am trying to reprint a lost w-2 for an employee and first was getting a message about pop-ups being blocked, so I disabled them now I am getting a message that my browser won't allow the download for security reasons. When I click download it throws me back to the screen where you select which employee to reprint. What am I doing wrong???

    When I follow your instructions, I get a pop up blocker and I allow the pop up, which in turn takes me back to the beginning, which does the same thing again. How can I get this to work?

    This is useless. I have tried it to display the W-2, reopened QB and retried. The notification bar in Quickbooks stops me from downloading the W-2. And according to help, you can not turn off the notification bar. It says to resubmit the form, to NO avail. Quickbooks Enterprise Solutions 13. ian@amitemarble.com

    I CANT REPRINT W-2S DUE TO SECURITY NOT ALLOWING POP UPS NO MATTER HOW I CHANGE THE SECURITY SETTINGS WONT LET IT POP UP. HELP!!!!!!!!!!!!

    Hold down ctrl and alt simultaneously and this will disable the pop-up blocker and security warning

    All I can do is click on the name of the employee. It will not allow me to open W-2 to even be able to print it.

    I am using QB Enterprise and was having trouble too. This is what I did:

    From Payroll Center click View/Pring Forms & W-2s.

    Enter your PIN and click OK.

    Click View W-2 forms.

    Click Show list of Employee W-2s

    Press and hold down the Ctrl and Alt keys at the same time. Don't let go!

    Click the employee you need to reprint for.

    Click Continue.

    Once the Adobe Reader window pops up let go of the Ctrl and Alt keys.

    Click Open.

    Hi,

    I am an Intuit employee and saw your comments. I am sorry you are unable to print your W-2s. You are correct, holding down the Ctrl and Alt keys while clicking the employee W-2 usually bypasses any problems and allows the W-2s open. I have updated this article with this information.

    My intention was to reprint 2 employees W-2s that they lost. No corrections or changes. I have QB Pro Enhanced Payroll. I don't see these options, what do I do?

    Sorry for any confusion, the Payroll Tax Center is only available to Assisted Payroll customers. Check out this article Print W-2 forms to print W-2s on Enhanced Payroll. If you kept PDF copies you can also reprint those.
