How to set up manual payroll

Overview

If you choose not to subscribe to a QuickBooks Payroll service, you can set up QuickBooks to allow you to manually calculate your employees' payroll (for QuickBooks Pro and Premier only).

Assumptions

You have QuickBooks Pro or Premier and have chosen not to use the tax table calculations as part of Intuit Payroll. Therefore you will do your own tax calculations on your paychecks.

Note: Manual payroll is currently unavailable in Simple Start.

Expected Outcome

You will be able to use the payroll features in QuickBooks without the tax calculations available with Intuit Payroll.

Details

Important: When your company file is set up for manual payroll calculations, QuickBooks inserts a zero amount for each payroll item associated with a tax.

To set up manual payroll:

From the QuickBooks Help menu, choose QuickBooks Help (or F1 on your keyboard).

Click the Search tab, enter "manual payroll," and press Enter.

Select the topic: Calculate payroll taxes manually (without a subscription to QuickBooks Payroll).

Under the header Set your company file to use the manual payroll calculations setting click the link manual payroll calculations.

Click the link Set my company file to use manual calculations.

If you don't find the payroll features under the Employee menu, check that your preferences are set for payroll:

On the top menu bar, Choose Edit > Preferences.

Select Payroll & Employees.

Click on the Company Preferences tab.

Choose Full Payroll, and click OK.
