    Cancel an electronic payroll tax payment or form

    This article explains how to cancel state electronic payments and your 941, 940, or W2 forms after you have already e-filed them with the agency.

    You subscribe to Intuit's e-file and e-pay service.

    Expected Outcome

    Under certain circumstances you may be able to cancel a federal form or e-payment.

    Details

    Federal Forms 940 and 941 (Schedule B)

    You cannot cancel a Form 940 or 941 after you have filed it electronically. If you need to adjust a filed return, contact the IRS or visit the IRS website more information. When contacting the IRS you will need to provide the confirmation number and the PIN.

    Federal Forms W-2

    Intuit can cancel your Forms W-2 only if you make the request before the service transmits the forms to the Social Security Administration. This transmission happens within hours of receiving your e-filing. If you miss this window, you must submit corrections directly to the Social Security Administration using Form W-2c or Form W-3c.

    To find out whether you can cancel a specific set of Forms W-2, Contact Us. If you submit the exact same W-2 more than once, the resubmitted forms are automatically rejected as duplicates.
    QuickBooks does provide Form W-2c and Form W-3c. However, we do not provide e-file service for those forms. To learn more about these forms, visit the Social Security Administration website.

    Federal tax payments

    It is not possible to cancel federal e-payments through QuickBooks once they have been transmitted: you must contact the Electronic Federal Tax Payment System (EFTPS) to stop e-payment. The EFTPS website states that you can cancel your payment online (up to 2 business days in advance of the scheduled due date); or you can call Customer Service for immediate assistance at 800.555.4477.

    State tax payments

    Customer Service may be able to cancel your payment (up to 2 business days in advance of the scheduled due date). Call Customer Service for immediate assistance at 1-800-555-4477. Some state e-payments are transmitted to the agency immediately, in which case you must contact the agency to try to cancel the e-payment.
