Change your Federal Employer Identification Number (EIN)
Overview
Your Employer Identification Number (EIN) is a 9-digit number issued by the IRS. It identifies your business to the IRS and is used by QuickBooks Payroll services to validate your subscription. This article explains how to update your EIN when the organization or ownership of your business changes.

To change an existing EIN: Apply to the IRS for a new EIN by submitting a Form SS-4. For more information, please see IRS Publication 1635, "Understanding Your EIN." You can download this publication from the IRS web site or you can request a new EIN by calling 800.829.4933, Monday through Friday, 7:30 a.m. to 10:00 p.m. local time.
To change your EIN in QuickBooks Pro and Premier:
- Choose Company > Company Information.
- In the Federal Employer Identification Number field, enter the new EIN and click OK.
- When prompted to save the new EIN, click Yes.
- Choose Employees > My Payroll Service.
- Select Change Payroll Service Options.
- Click Add to My Subscription and follow the onscreen instructions for adding a new EIN to your payroll subscription.
Note: If you are unable to complete these steps, your payroll subscription status may be inactive. See below for how to check your payroll status.
To change your EIN in QuickBooks Simple Start:
- Choose File > Company Information.
- In the Federal Employer Identification Number field, enter the new EIN and click OK.
- When prompted to save the new EIN, click Yes.
- Choose Payroll > My Payroll Service.
- Click Change Payroll Service Options > Add to My Subscription.
- Follow the onscreen instructions for adding a new EIN to your payroll subscription.

To check your payroll status and update your payroll service with the new EIN:
- QuickBooks Pro and Premier: choose Employees > Get Payroll Updates.
- Simple Start:
- Choose Payroll to go to the Payroll Center.
- Click Setup and Maintain > Get Payroll Updates.
- View the Subscription Status field to determine your status.
To enter a New Service Key:
- Choose Employees > My Payroll Service > Manage Service Key.
- In the Manage Service Key window, select your QuickBooks version from the list of Services, and click Edit.
- In the Enter Service Key window, remove the OLD Service Key and enter the NEW Service Key.
- Click Next > Finish. Your Service Key is validated.
Simple Start:
- Choose Payroll > My Payroll Service > Manage Service Key.
- In the Manage Service Key window, select your QuickBooks version from the list of Services, and click Edit.
- In the Enter Service Key window, remove the OLD Service Key and enter the NEW Service Key.
- Click Next > Finish. Your Service Key is validated.
